Sync Applications

Sync applications can be defined as software that allows you to synchronize contacts from different sources. For instance, you could have many email contacts in your phone, but need to have them in such a way that all the contacts in your phone are similar to the ones in your email server. In such an instance, the best way to ensure that both sets of contacts are synchronized is to install a sync application on your phone and then use it to synchronize data.

How does a sync application work?

When you want to ensure that your address book is always updated, you can download any of the many sync applications to do this. These days, many types of phones (especially smartphones) come preinstalled with sync applications, which make it much easier for you to use them. In a nutshell, after you have made sure that you have the right application, you then start it up and enter your details.

This includes information such as the internet connection to use for the synchronization. You will also need to enter such information as your email account ID (if you are performing the synchronization from an email server), and your password. This will allow your device to periodically connect to your email account to check for any changed contacts.

Once all this is sorted out, all that is now needed is to undertake the actual synchronization. The first time you do this, it will take some time (especially if you have many contacts). What the sync applications do is compare the contacts in your phone with the ones in your email account. If, for example, it is found that some of the contacts in the phone aren’t in the email account, the additions will be made. In the same vein, any contacts that are in your email contacts list but aren’t in your phone, they will be added to your phone.

What are the benefits of using sync applications?

The benefits of using sync applications mainly stem from the fact that your contacts are more organized. This means that for whatever device you are using, the contacts in the device will always match the ones in your email account. This is especially beneficial if you have large numbers of contacts. The other benefit of using sync applications is that it makes it easier to manage all your contacts on different devices. If, for instance, you delete a contact from one of them, then the next time the synchronization takes place, the contact will be deleted from any other device that is part of the synchronization setup. That said, there are several things that you should do to make the experience better. These include:

  • Save all your contacts the same. If you have a contact in the phone and another one in email with different names but similar details, the sync application might think they are different contacts. This means you’ll have duplicate entries.
  • Before you perform the synchronization, it might be a good idea to go through the contact lists in both your email account and phone, weeding out any contacts you don’t need.
